As you may be aware, UPS is being decommissioned due to compliance issues. This means that new payment routes for examiners need to be established before the system is fully phased out. 

You are to invited to participate in a workshop to help validate our understanding of your end-to-end journey when appointing and paying examiners. 

What is the workshop about?  We are conducting a validation activity of the ‘As-is’ (current) end-to-end user journey for the Examiner Payments Project. The goal is to confirm our understanding of who is involved, what steps are taken, which software tools are used, and what challenges you face. By understanding your day-to-day experience, we can better define the problems and identify requirements for the new payment system.

Who can participate? Any post-doctoral researcher who is currently serving as an examiner or has been involved in any part of the examiner appointment and payment process, as your insights are essential to improving it.

How will the validation activity be conducted? The validation activity will be held remotely via Microsoft Teams, with the use of Miro for interactive collaboration. Please note that the session will be recorded to ensure we capture all important insights. 

Who is running the validation activity? I will be facilitating the session as a Senior User Researcher for the Examiner Payments Project. There may be other team members observing and taking notes to help speed up the process. 

When is the validation activity? I aim to run the sessions from 15th October to 13th November 2024, based on your availability and preference. 

How long does the activity last? Each session will last between 1.5 to 2 hours, but you’re welcome to join for the amount of time that best suits your schedule. 

What will I do during the activity?
During the session, you will get to: 

  • Review the ‘As-is’ journey map for the Examiner Appointment and Payments. 
  • Provide feedback and thoughts on the content. 
  • Engage in discussion with other participants. 
  • Answer any follow-up questions from me or the observers. 

What happens to the data after the workshop? I’ll review the session to ensure no important details are missed and will update the ‘As-is’ user journey map based on your feedback.
